Migrate Gmail to Outlook: Complete IMAP Migration Guide

Prerequisites
- Source accounts in Gmail / Google Workspace with IMAP enabled
- Destination mailboxes created in Outlook / Exchange Online
- App passwords configured for both providers (see instructions below)
- Admin access to both Google Workspace and Microsoft 365 admin centers
How to Get App Passwords
Step-by-step instructions:
- Go directly to Google App Passwords
- If prompted, enable 2-Step Verification first (required for app passwords)
- Choose "Mail" as the app and "Other (Custom name)" as the device
- Enter "Migrate Wizard" as the custom name and click "Generate"
- Copy the 16-character password (spaces don't matter) - you'll use this in Migrate Wizard
Note: For Google Workspace accounts, your admin may need to enable app passwords in the admin console first.Learn more
Tip: If you don't see "App passwords" option, make sure 2-Step Verification is enabled. App passwords are only available for accounts with 2FA turned on.
Step-by-step instructions:
- Go to your Microsoft Account Security page
- Enable "Two-step verification" if not already enabled
- Click on "Advanced security options" or go directly to App passwords page
- Click "Create a new app password"
- Enter "Migrate Wizard" as the app name and click "Generate"
- Copy the generated password - you'll use this in Migrate Wizard (note: you won't be able to see it again)
For Microsoft 365 Business/Enterprise: Your IT admin may need to enable app passwords in theMicrosoft 365 admin center under Security > Authentication methods.
Alternative: If app passwords aren't available, you can use your regular account password if your organization allows basic authentication. However, app passwords are more secure and recommended.
Using App Passwords in Migrate Wizard
When setting up your migration in Migrate Wizard:
- •Use your regular email address as the username
- •Use the app password (not your regular password) in the password field
- •For Gmail: Use
imap.gmail.comas the IMAP server - •For Outlook: Use
outlook.office365.comor your Exchange server
Recommended Migration Strategy
Start with one Gmail → Outlook migration using the same credentials and servers you plan to use in production. IMAP login should succeed without captchas or 2FA prompts. Enable IMAP in Gmail settings and confirm that Exchange Online IMAP is reachable from your network.
Gmail uses labels while Outlook uses folders. Migrate Wizard preserves your structure by creating folders with the same names in Outlook and skips Gmail's "All Mail" folder to avoid duplicates. After the first test migration, sit down with the user and confirm:
- All important labels/folders (Inbox, Sent, custom folders) appear in Outlook
- Unread / read state looks reasonable for recent mail
- There are no obviously duplicated folders full of the same messages
Once the first mailbox looks good, migrate a small pilot batch of 5–10 users with different usage patterns (heavy mailbox, light mailbox, shared mailbox). Use this batch to tune:
- Concurrency / performance settings
- Any provider‑specific throttling limits you encounter
- Your internal communication plan and user instructions
After the initial bulk copy, keep running incremental syncs so new Gmail messages are continuously copied into Outlook. Only when you're confident that:
- Historical mail looks correct for your pilot users
- Performance is acceptable during busy hours
- Your support team is comfortable with the process

Zero‑Downtime Cutover Checklist
- Confirm that all historical mail is present in Outlook, including folders and unread flags
- Schedule a short maintenance window to switch MX records from Google to Microsoft
- Keep Migrate Wizard running incremental sync for a few more hours to catch late‑arriving messages
- Communicate the switch to your users and update documentation / bookmarks
