Zoho Mail to Gmail Migration Guide

Complete guide to migrate from Zoho Mail to Gmail or Google Workspace using IMAP. Learn how to set up app passwords, preserve folders, and migrate emails safely with zero downtime.

Prerequisites

  • Active Zoho Mail account with IMAP access enabled
  • Destination Gmail / Google Workspace mailbox for each user
  • App passwords for both Zoho and Gmail (see instructions below)

How to Get App Passwords

Zoho Mail App Password

Step-by-step instructions:

  1. First, enable Two-Factor Authentication (2FA) on your Zoho account if not already enabled
  2. Go to accounts.zoho.com and sign in
  3. Click My Profile → My Account
  4. Go to the Security section
  5. Click App Passwords → Generate New Password
  6. Enter "Migrate Wizard" as the app name and click Generate
  7. Copy the generated password immediately (you won't be able to see it again) – use this as the Zoho IMAP password

Important: App passwords are only available if 2FA is enabled. Also ensure IMAP access is enabled in your Zoho Mail settings (Settings → Mail Accounts → IMAP Access).

Gmail / Google Workspace App Password

Step-by-step instructions:

  1. Go directly to Google App Passwords
  2. If prompted, enable 2-Step Verification first (required for app passwords)
  3. Choose "Mail" as the app and "Other (Custom name)" as the device
  4. Enter "Migrate Wizard" as the custom name and click "Generate"
  5. Copy the 16-character password – you'll use this in Migrate Wizard

Using App Passwords in Migrate Wizard

  • Use the Zoho email address as the source username and Gmail address as the destination username.
  • Use the respective app password for each side (Zoho and Gmail).
  • Zoho IMAP server: imap.zoho.com (or imap.zoho.eu for EU accounts).
  • Gmail IMAP server: imap.gmail.com.

Recommended Migration Strategy

1Migrate a Single Mailbox First

Start with one Zoho mailbox and check the Gmail inbox afterwards: folders, unread state, and search should all behave as expected.

2Scale to a Small Pilot

Once the first mailbox looks good, migrate 3–5 more accounts and monitor performance and any rate limiting from Zoho. Adjust concurrency in Migrate Wizard if necessary.
